Type Contact Definitions

Assessment: Assessing the care needs of a potential resident for level of care analysis or appropriateness of placement at your community.

Call Out: A telephone call generated by an employee for any purpose. Examples may include: follow up phone calls inviting an inquirer and/or potential resident for a tour, scheduling a move-in date or requesting a deposit. scheduling an Outside Sales Call, or returning a phone call from a hospital discharge planner.

Centers Event: Any marketing event held inside or outside of your community. Examples of this may include a discharge planner luncheon, Safe Halloween for local children, educational seminar for local seniors. It typically does not include events held for in-center residents and families.

Cold Call: An outside marketing call made to a potential referral source with the purpose of gaining a face-to-face appointment.

Email In: An email received regarding an Inquirer or Potential Resident.

Email Out: Any email you send regarding an Inquirer or Potential Resident.

In-Call: A telephone call initiated by any individual to your community. Inquiry calls, calls from referral sources, return phone calls from vendors or questions or concerns from current family members .are some examples.

Mail-In: Any request for information about your community that was received in the form of a written request. Examples may include a completed response form attached to a direct mail piece or newspaper ad designed for mail in by potential residents.

Mail-Out: Written materials sent to prospective residents, family members, referral sources or other interested parties. Examples include direct mail pieces, newsletters, invitations, or brochures.

Meeting-Center: A professional meeting, usually with other staff members, held inside the community. Examples may include department head meetings, infection control, fire safety, or computer training.

Move-In: An action that changes the status of a "potential resident" to "resident" within your community.

Off Site: A meeting or appointment held outside of the community for purposes other than sales calls. Examples include picking up flowers for a center event, running errands, computer training at a local training center.

Other: Any type of contact that cannot be defined by any other contact listed in the drop down menu. Examples may include attending a Valentine's day dance sponsored by the Activities department for current residents and their families or meeting with a resident to address concerns.

Personal: Any scheduled activity of a personal nature. Examples may include a trip to the dentist or a scheduled vacation that you wish to appear on the contact schedule.

PR Visit: Outside appointments (usually) with the purpose of representing your community favorably but not with the intent of receiving direct referrals. Examples may include Chamber of Commerce meetings, group presentations at civic organizations, and visits with the local media.

Re-tour: Different than "Tour" in that these are additional Tours, not the original Tour.

Sales Call: Scheduling an Outside Sales Call, or returning a phone call from a referral source contact such as a hospital discharge planner. This selection could also be used for a meeting held with an individual(s) outside the community for the purpose of generating Move-Ins.

Sign Papers: Any documentation that is required for the potential resident to move in that need signatures can be recorded as an activity.

Tour: The Initial Tour, providing an inquirer, potential resident, family member, referral source, or other professional a tour of your community or touring another professional's place of business. Examples of this may include providing a tour of your community to a group of local hospital discharge planners or taking a tour of the new Chamber of Commerce building in your community. Adding this activity will fill a date and employee id in the Initial Tour fields.

Trade Shows: Presenting services provided by your community as an exhibitor at a local or state trade show. Example: Chamber of Commerce Job Fair.

Walk In: Individual(s) arriving at the community, unannounced, for the purpose of discovering information about housing services available for themselves, a friend, client, or family member
