ADD A Scheduled Task

  • Click on Main Menu > Resident Care > Schedule if you have not already done so. 
  • Click the Add button on the top right side of the screen.

  • Complete all required fields with yellow background color.

  • Date or Week Day: Either enter the date the task should be complete or the day of the week the task should be assigned. For example: if Mrs. Jones needs to be transported to the hairdresser each Thursday then you would not enter a date but would click on Thursday under the Week Day. You cannot enter both. 
  • If an event will occur Daily, enter Daily and the system will roll it to a daily calendar. If the event will occur more than once weekly but not daily, you need to add a new task for each day of the week the event will occur. For example: Mrs. Jones may go to the hairdresser every Monday and Thursday. If so this will require two entries. Note that there are selections in the Week Day drop down for Monday, Wednesday, Friday or Tuesday, Thursday, Saturday. 
  • Time From: If desired enter the time the event/task should occur. 
  • Time To: If desired enter the time the event/task will be completed. 
  • Minutes: The number of minutes scheduled for the task will automatically appear once the Time From and Time To fields are completed. The Minutes field may also be manually overwritten. 
  • Assigned To: Select the person, department or agency to which you wish to assign the task from the drop down list. (If the person desired is not in the drop-down list, go to Resident Care > Libraries  > Preferences.  Click Assignments to enter the desired task in the "assigned to" drop-down list. Return to this screen and enter your choice into the appropriate field.)
  • Location: If the task must be completed in a certain location, the location may be recorded here. The drop down list that appears comes from the Preferences Library.
  • Task: Select the task to be completed from the drop-down list. (Remember: this field is NOT related to the Service areas or Tasks/Levels of Care associated with those Service Areas. These are entered into the Non-Assessment Related Tasks table in Preferences Library during original program setup. If the task desired is not in the drop-down list, go to Libraries > Preferences to enter the desired task in the task drop-down list. Return to this screen and enter your choice into the appropriate field.) 
  • Resident: The task is related to a specific resident and must be selected.
  • Notes: Enter appropriate notes; Date/Time stamp the notes by clicking the D/T button, if desired. 
  • To mark a task complete click on the completed box. Tasks, which have been checked as completed, will no longer be placed on the schedule. 
  • Save changes.
